Stop Notes are designed so drivers can log their activity at stops throughout the day. At the stop the driver uses SMS messaging to log a Stop Note. Those notes are then accessible either through a 3D History map or a Stop Notes report.
Associate a Phone Number with the Vehicle
This association links the notes to the vehicle record. (It will also allow you to send SMS messages to the driver from 2D or 3D Current maps or from the GPS Insight Dashboard.)
You associate the number to the vehicle using the Contact tab.
Go to Account – Admin – Contact and click Open.

Find the vehicle in the list and click in the Phone/SMS column. Enter the phone number and click OK.

You can also associate a phone number with a vehicle through SMS messaging.
If texting from the phone you are associating with the vehicle:
Text “gps [vehicle name] driver” to 477-477.
- Change [vehicle name] to the vehicle being associated.
For example, a driver texts from his/her own phone number 9876543210:
- Request: “gps truck 01 driver”
- Response: “9876543210 was assigned to ‘truck 01’”
If texting from a different phone:
Text “gps [vehicle name] driver [phone number]” to 477-477.
- Change [vehicle name] to the vehicle being associated.
- Change [phone number] to the phone you want to assign to the vehicle.
For example, someone in the office texts from their own phone to assign the driver’s number 1234567890 to the vehicle:
- Request: “gps bus 4 driver 1234567890”
- Response: “1234567890 was assigned to ‘bus 4’”
Create a Stop Note
A Stop Note can be made by the driver or by someone else.
If the vehicle is moving when the note is received, it will be saved to the previous stop point.
Note: The key word “memo” may also be used interchangeably with “note.”
Driver creating a stop note (from the phone associated with the vehicle):
Text “gps note [message]” to 477-477.
- Change [message] to the note you want to save about the stop.
Within 5-30 seconds, a text message response will be sent to your phone.
For example, the driver creates a note:
- Note: “gps note Talked to Fred about station 14”
- Response: “Your note was received.”
Someone else creating a stop note (ex, someone in the office or a driver whose number is not associated with the vehicle):
Text “gps [vehicle name] note [message]” to 477-477.
- Change [vehicle name] to the vehicle label.
- Change [message] to the note you want to save about the stop.
For example, someone in the office creates a note:
- Note: “gps bus 4 note Talked to Fred about station 14”
- Response: “Your note was received.”
View Stop Notes
Stop Notes can be seen on a 3D History map or a Stop Notes report.
On a 3D History map:
Stops with notes have an envelope icon. Click on the stop point to see the note.

Run a Stop Notes report:
Select the vehicle(s). Select the dates you want to include in the report. Go to Reports – Stop Detail – Stop Notes and click Run Report.
